Haddon Hall PopUp Details for Makers

(Scroll Down for Floor Plan, Allocations and Rotas)

 Dates: 3rd – 23rd December 2021

Opening Hours: 10am until 4pm every day

Important Information for Makers [PLEASE READ CAREFULLY]

  • All Makers have been allocated a display space within The Gatehouse according to their products and we have endeavoured to accommodate everyone each week based on the information provided on the booking form.

  • Once you know which display number you have been allocated, and you’d like to see a photograph of it from our previous event there to help you plan and decide on the products for your display, please email info@thederbyshiremakers.co.uk

  • Please ensure that you keep your products within your allocated space so each Makers’ display can be identified by visitors to The Gatehouse.

  • Please keep all products on tables, counters or shelf space, ensuring that no products are placed on the floor in boxes and crates, so visitors can manoeuvre around the space safely.

  • The set up and dismantle time is every Thursday (from the 2nd December) from 4pm until 5.30pm at the latest when we need to have locked up The Gatehouse.

  • When you arrive to set up or dismantle, you can park in the spaces outside of The Gatehouse (left turn opposite the main car park)

  • Please ensure all of your products are labelled with a price tag and your Maker information ie logo so Makers on duty each day know who the products belong to, when a customer takes them to the counter

  • Please ensure you bring enough packaging [bags and boxes] for your products. There will be a small amount of space underneath the counter for this, and any spare can be left in the stock cupboard to save you having to bring more throughout the week.

  • Please ensure that all of your products are clearly labelled with descriptions if this is necessary, and you want customers to know what they are.

  • Please ensure you bring enough marketing materials to go on your display for the week i.e business cards, postcards, flyers, etc

  • Amanda and Louise will ensure there is a £40 cash float each week for customers who wish to pay with cash

  • All Makers on duty will be responsible for ensuring that the manual daily sales record equates to the transactions and amounts on the Sum Up app on the Ipad (provided by Amanda) at the end of each day.

  • Can all Makers on duty please ensure that the cash takings for that day are put into a money bag and put in the safe [behind the counter] with a note of how much money is inside together with the cash tin.

  • Instructions for taking payment using the Sum Up app and card reader will be left on the counter once Amanda or Lou have spoken to Makers about them every Thursday evening after they’ve set up

  • Can we ask if it’s possible for all Makers to price their products to a rounded amount, ie £4.00, £3.50 as there won’t be any small coins in the cash float.

  • If possible, can you please keep the number of different price points to a maximum of 8 as this speeds up the transaction process for customers as they’re not waiting ages for Makers to find other Makers prices! PLEASE ENSURE THESE ARE EMAILED TO INFO@THEDERBYSHIREMAKERS.CO.UK NO LATER THAN FRIDAY 19TH NOV.

  • Haddon Hall have agreed to promote our Christmas Pop Up Gallery & Shop during the 3 weeks we are in The Gatehouse and Amanda will be sending them your social media tags for them to tag you in their weekly posts, so you may want to start following Haddon Hall on Facebook, Instagram and Twitter so you can interact with them as and when.

  • At the end of each day, Makers on duty need to ensure all the lights have been turned off at the sockets and the doors are locked before the duty warden at Haddon Hall collects the keys and locks them in their ticket office for the following day’s Makers to collect.

  • All Makers can use the outside lockable stock room to store their spare stock and packaging during the week they are in The Gatehouse.

  • Haddon Hall will be carrying out a risk assessment prior to us setting up our event in The Gatehouse, however they are not responsible for any extension cables we use so please ensure yours are PAT tested if you wish to use one, and it must be part of your display and not placed on the floor. If a problem occurs whilst you are on duty in the shop please alert the Caretaker or Duty Manager immediately. Details of these contact numbers will be accessible behind the counter.

  • Please allow up to 1 week for all payments to be transferred to you after your week in The Gatehouse as these have to be reconciled. All payments will be made to Makers bank accounts after deducting Sum Up transaction fees and bank fees.

  • All Makers will require the right business insurance to ensure their products are covered whilst on display in The Gatehouse.

  • At the end of each day, could one Duty Maker please take a photograph of the sales record sheets and email them to info@thederbyshiremakers.co.uk so Amanda and Lou can keep a record of these for reconciliation. Please do not share these sales record sheets in the group.

  • If you notice a Makers display needs restocking with products and there are no supplies in the stock room, please contact the Maker directly about this. Phone numbers will be supplied.

  • If Makers wish to set up a Facebook messenger group to communicate with each other during the week, please feel free to do so but could all queries for Amanda and Lou be emailed to info@thederbyshiremakers.co.uk or by calling 07877 927 801 or 07812 178269

  • If you wish to change your day on the Duty Rota for whatever reason, you will need to contact other Makers on the rota for that week to see if they are able to swap with you, as the rota’s have been put together based on the information given on the booking forms. If you do swap your day, please let Amanda and Lou know by emailing info@thederbyshiremakers.co.uk

If you have any questions after reading this information, please email info@thederbyshiremakers.co.uk
