Important Information for Makers

The Derbyshire Open Arts events runs from 10am on Saturday 28th May through to 5pm on Sunday 29th May.
Please read the following very carefully and let us know if you have any further queries as soon as possible:
There is Wifi at the venue; we will provide the code on the day.
An urn and tea and coffee are available in the room for the Makers. You are welcome to bring along your own teabags/ coffee if you prefer. There is also a cafe and you are welcome to bring your own drinks and snacks (please refrain from eating full meals in front of visitors - we have received negative feedback about this)
PLEASE remember to:
Bring along copies of your up-to-date, valid Public Liability Insurance documents on the day.
Bring some packaging materials for your products.
Bring enough table coverings for TWO tables as these are not provided.
Your business cards or contact information
Ideally a card reader if you have one (but there is a cash machine next to the Co-Op opposite the venue).
Each square represents 1 square foot and we kindly ask that you keep your products within your own area for safety reasons.
Your space is two tables (approximately 5ft x 2ft) plus two free standing boards in an 'L’ shape. These are represented by the crosses down the centre of the room. The layout should create an individual ‘room’ for each Maker.
The Stands:
are approximately 5’8” in height, 3’ wide and 19mm thick.
They are black with a silver surround.
Please be aware that both sides of the stands will be used by different Makers.
Very strong velcro can be used with the stands to mount your artwork or signage. Velcro will be supplied. If you wish to buy your own, please purchase the ‘Male’ side. If hanging framed prints, and do not want to stick velcro on them, you can wrap velcro around the hanging string/wire to then attach them to the stand.
If you prefer not to use velcro, one alternative is a hanging system with a hook. The hook needs to be wider than 19mm. We regret that these cannot be supplied by The Derbyshire Makers Administrators but can be bought for a reasonable price.
You may wish to consider making a sign to affix to your stand including your business name, logo and contact details.
For Health and Safety reasons please DO NOT put items on the floor between your tables and stands - this will also ensure that visitors can get to your own and others' exhibitions easily and those in wheelchairs have easy access.
Please keep any additional items and boxes underneath or behind the table to avoid the risk of any trips and falls.
There is one chair per person. If anyone needs additional chairs, please let us know as soon as possible.
If anyone does not require a table, please let us know by email as soon as possible.
It will not be possible to affix items to the walls but there should be space behind the table for free standing banners.
Please let us know if you need power. If power is requested: stallholders will need to bring their own extension leads (these must also be PAT tested) and ensure that all electrical items are PAT tested. Please bring evidence of this on the day. The venue does not allow anyone to 'daisy chain' extension leads together.
You are welcome to bring machinery/ sewing machines/ looms etc to work on during the fair but please use your own space to do this.
You can arrive any time from 8.00am on the day to set up and we ask that all stalls are ready by 9.45am for the fair to start at 10am. We will be at The Whitworth Centre to direct you to your stall.
You can unload via the front entrance (there is a ramp). A trolley will be available but you might wish to bring your own to speed the process up if you have one.
Once unloaded, please park in the car park (at the far end of the car park if you can). There is normally a charge for parking, HOWEVER, The Whitworth Centre have advised us that it is free if you purchase a drink from the cafe. You can either purchase a drink as you arrive to drink at the time or keep the receipt to claim your hot drink later in the day - either way, the purchase entitles you to free parking (you just have to complete a form on an iPad). Please note this must be done within 30 minutes of parking in the main car park. We will try to check that everyone has entered their registration on the iPad provided but it is the stallholders responsibility and we cannot be held responsible if this has not been done.
A caretaker will be on-site to lock/ unlock the rooms both morning and evening for the event so that exhibitors can leave their products - however, please note that items left are at your own risk.
We kindly request that you do not pack away your items until after 5pm when the fair closes to the public.
